Position Title: Elections Candidate Liaison

Term: 1 year

Summary

Elections volunteers assist the Elections Chair in tasks related to OTW Board elections. Candidate Liaisons (CL) work directly with candidates to guide them through candidacy declaration and election processes. They are responsible for finding potential candidates and organizing the candidacy period. All Elections volunteers assist in committee wide activities and basic level tasks in addition to the work in relation to their specializations.

Elections Committee volunteers are not allowed to run for election for the year they serve in, nor to be a current member of the Board of Directors.

Requirements:

  • Must have been an OTW volunteer for at least six months.
  • Must be willing to agree to a confidentiality agreement.
  • Must be willing to agree to a conflict of interest policy.

Key Responsibilities

Specialization Responsibilities:

  • Seek out qualified candidates and encourage those interested to run for board.
  • Help potential candidates connect with current Board members who are open to questions about the position.
  • Provide guidance for candidates in their candidacy declaration process.
  • Make sure candidates are aware of the rules surrounding Board elections.
  • Help candidates with the technical aspects in preparing public facing documents, such as biographies and platforms (in collaboration with Communication Specialists).
  • Prepare Q&A materials and set deadlines for candidate responses.
  • Schedule and host election chats, then post transcripts.
  • Propose changes to election process based on candidate and voter feedback.

General Committee Responsibilities:

  • Attend at least two-thirds of all Elections Committee meetings.
  • Participate in the writing of newsposts, announcements and documentation.
  • Participate in discussions about the elections process.
  • Participate in monitoring and running of contested elections.

Experience:

  • Prior experience in mediation and/or moderation recommended but not required.
  • Should be an existing OTW volunteer if possible.

Skills and Attributes:

  • A good understanding of the English language.
  • Ability to adhere to the confidentiality and neutrality requirements of the committee.
  • Knowledge of the OTW committees, their work, and how to get in touch with them.
  • Time to handle multiple emails/DMs a day from various candidates.
  • Ability to work well with multiple personality types.
  • Attention to detail.
  • Reliability on deadlines.
  • Good organizational skills.

Training Requirements:

  • The volunteer will be trained on Elections policies and tools.
