Time Requirements: 1-6 hours per week. This role has scheduled, recurring responsibilities with a concentrated burst of work once a month and relatively low activity at other times.

Term: 1 year

Role overview: The Development & Membership committee (DevMem) is the OTW’s primary fundraising body, responsible for the coordination of fund drives, convention outreach, and other activities designed to raise money and grow the OTW’s membership, as well as for the maintenance of donation and membership records.

The Shipping Specialist is sent the items as needed by the Devmem Premiums Specialist, and personally ship them out to their list of recipients. Each Shipping specialist is responsible for a specific area, determined by where they are located and the cost of shipping gifts from that location vs the cost of shipping individually from the US (where our premiums specialist is located).

Key Responsibilities:

  • Personally pack and ship premiums that cannot be shipped by the vendor, as well as convention outreach materials.
  • Be aware of shipping requirements and potential challenges in their region.
  • Make recommendations to DevMem regarding possible changes to premium procedures.
  • Communicate with chair in regard to availability, progress on tasks, and any issues that arise that may impact committee work.
  • Acquire shipping supplies (e.g. padded envelopes, tape)
  • Purchase and print shipping labels, and either bring packages to the post office or arrange for pickup (depending on your area’s postal situation)
  • Submit prompt reimbursement requests to Finance

Experience & Requirements:

  • This position involves mostly independent work that demands timeliness and accuracy; therefore, prior OTW experience of at least 1 year is required in order to demonstrate reliability.
  • The Shipping Specialist may simultaneously serve as a regular DevMem committee member or chair, but it is not required.
  • Must live in an EU country (For the EU shipping specialist. The Australia, UK, and China specialists have the same requirement for their own area.)
  • Must be able to get gifts shipped in a timely manner after receiving them
  • Either have access to an alternate address (e.g. work, postal box) or be willing to use your address for the returns
  • Any shipping specialists must fill out the Development & Membership confidentiality statement, as they will be handing donor personal data.
  • Must be in a financial position where you can pay for shipping gifts and then wait for reimbursement. We expect this to vary between 300€-2000€ per drive for the EU role.

Skills and attributes:

  • Must have regular access to a post office, UPS Store, or similar.
  • Must be able to receive packages and store a limited number of physical items.
  • Reliable and detail-oriented.
  • May need to use legal name in some situations — for example, on customs forms.
  • Will either need access to an alternate address, such as a post box or business address, or be willing to use their own address for returns.
  • Able to perform tasks on schedule with minimum supervision.
  • Commitment to treating confidential information ethically and responsibly.
  • Experience shipping items in bulk internationally is a benefit, but is not required.
