Position Title: Communications Event Coordinator

Term: 1 year

Role overview: The Communications Committee is the central information distributing arm of the OTW, responsible for the distribution of information internally to OTW personnel and externally to the general public, the media, fans, and other fannish organizations. Communications is responsible for distributing both an internal and external newsletter monthly, as well as generating an Annual Report for the OTW.

The Event Coordinator is responsible for planning and executing organization-wide events throughout the year. Larger events include International Fanworks Day and the OTW’s anniversary. Smaller events include single-day celebrations such as SysAdmin Day.

Key Responsibilities:

  • Overall planning and execution of organization-wide events
  • Writing and distributing news posts about events
  • Coordinating with Translation to produce event content in multiple languages
  • Coordinating with graphic designers to produce images for events
  • Coordinating with Media Outreach to promote events
  • Devising and scheduling activities for events
  • Coordinating with other OTW personnel to execute event activities
  • Hosting and supervising event activities
  • Coordinating with special guests for event activities and news posts
  • Creating and maintaining documentation about how to plan and execute events

  • Ability to manage multiple priorities
  • Basic html skills required
  • Prior experience with event planning an asset
  • Prior OTW experience not required

Training requirements:

New Communications volunteers will be provided information and training by the Communications Chair(s) in accordance with the Communications Training Plan.
